Essential Requirements for Bulk EWB Generation
To generate e-way bills or consolidated EWBs in bulk, users must meet certain conditions:
- Successful registration on the e-way bill portal.
- Possession of invoices, bills, or challans related to the goods consignment.
- Transporter ID or vehicle number for road transport.
- Transporter ID, document number, and date for rail, air, or ship transport.
- Access to the EWB JSON template, EWB bulk converter, or the excel template for data entry.
- For consolidated EWBs, all individual e-way bill numbers for the consignments are required.
Preparing Data for Upload Using Available Templates
Templates are provided to assist with:
- Generating e-way bills in bulk.
- Updating vehicle details in bulk.
Steps for Bulk E-Way Bill Generation
Two primary methods are available for preparing the data file for uploading bulk e-way bills to the portal:
Method 1: Direct JSON Template Usage
- Download the "e-Way Bill JSON Format" or "Consolidated e-Way Bill JSON Format" file.
- Populate the downloaded JSON file with the necessary details. The file is then ready for direct upload.
Method 2: Excel Template with Converter Tool
This method is generally preferred due to its built-in validation.
- Download the "e-Way Bill JSON Format.xlsx" or "Consolidated e-Way Bill JSON Format.xlsx" excel template.
- Download the corresponding converter tool, such as "e-Way Bill converter tool.xlsm" or "Consolidated e-Way Bill converter tool.xlsm." This tool converts multiple excel e-way bill or consolidated EWB entries into a single JSON file.
- Fill in the required details within the .xlsx excel template.
- Utilize the .xlsm converter tool to transform the excel file into a JSON file. The resulting JSON file is ready for upload.
The second method is recommended because the converter tool performs validation checks during the conversion from excel to JSON, identifying and reporting any errors for correction before the file is uploaded.
Bulk Updating Vehicle Information
To update vehicle details in bulk:
- Navigate to "How to Use" on the portal's home page.
- From the "Bulk Generation Tools" section, download the "Vehicle No Updation JSON Preparation" template.
- After downloading the template, input the details and click the 'Validate' button within the excel file to check for errors.
- Once validated, click 'Prepare JSON' to create the ready-to-use JSON file.
